You can add or replace entities tagged to a document with just one click. To view the Entities tagged to documents and folders quickly, click "View Options" and change it to "List View". A column called ENTITIES will show you a circle with the colour assigned to each entity. To view the name of the Entity, hover over the circle.
There are two ways to modify entities by adding or by replacing them. Hover the interrogation mark to get more information about what each one can do.
Step by Steps
Adding an Entity
This action will not remove previous entities assigned to the items selected. Any entities selected will be added to the items additionally.
1. Select all the files you want to add to the new Entity.
2. Right-click or go to Actions. Select the Entities option.
3. Click "Add to Existing Entities."
4. Select the new name of the Entity
5. Click Update.
You will see the new Entity added in the List View. Hover the circles to display the name.
Replacing Entity
This action will remove the previous Entity and only add the new Entities selected.
1. Select all the files you want to add to the new Entity.
2. Right-click or go to Actions. Select the Entities option.
3. Click "Replace Existing Entities."
4. Select the Entity
5. Click "Update."
When the items are not located inside a company folder, or the sponsor company did not upload them, users can fully replace the Entities when documents are located inside a company folder or uploaded by the sponsor administrative users. The message will advise that items are already tagged to the default entity.
