FutureVault uses the concept of roles. We have 6 predefined roles. Each role has different permissions in regard to performing different tasks and access to some areas of the vault.
VaultHolder / Vault's owner
VaultHolder / Vault owner: end-users/owners of a vault (your clients). VaultHolders have access to all core functionalities of a vault and can upload/edit/share/add reminders and delete documents filed in their vault. They can add/edit/remove Trusted Advisor permissions at any time but cannot remove the Admin or Reps access to the “Company’s Taxonomy”.
Administrative Users (Sponsors)
Administrator (Admin)
An individual who manages all users and has access to clients' vault and all the tools on the Admin portal. This role can manage and access only the company folders on the clients' vaults and have access to the Delete and Contacts tab. By default, they cannot access the following areas: Unfiled, Shared & Reminders (some exceptions apply - depending on the nature of the relationship with the client). The VaultHolder cannot remove their access to the company folders, but they can give them extra access to their Personal folders as a Trusted Advisor or Manager.
Representative (Reps)
An individual that only can access the clients' vaults and the company folders they have been giving permission by the Administrator. By default, they cannot access the following areas: Unfiled, Shared & Reminders (some exceptions apply - depending on the nature of the relationship with the client). The VaultHolder cannot remove their access to the company folders, but they can give them extra access to their Personal folders as a Trusted Advisor or Manager.
Client Collaborators:
Trusted Advisor
An individual selected by the VaultHolder who has access to a specific entity, category, subcategory or area in a vault. Trusted Advisor access can be removed or edited at any time by the VaultHolder. By default, Trusted Advisors do not have an individual vault, but they need to have an account in the system. On the contacts tab, this user will now have a label to indicated that it's a Trusted Advisor.
Manager
An individual selected by the VaultHolder who has the same permissions as a VaultHolder. Their access can be removed at any time by the VaultHolder. By default, Managers do not have an individual vault, but they need to have an account in the system. On the contacts tab, this user will now have a label to indicated that it's a Trusted Advisor.
External User
An individual who receives a secured link where they can view and download a specific document. For security purposes, their access should be temporary but is based on the settings set by the sender. By default, they do not need to have an account in the system.
