How to Edit Entities inside a Vault?

Entities help organize and categorize documents effectively. If you need to update an entity’s name, color, or type, you can do so from the Entity Management page. However, keep in mind that changing the Entity Type will erase all previously entered entity-specific information. 

Who Can Edit Entities?

The ability to edit entities is available to:

  • Administrative Users
  • Primary Owners
  • Co-Owners
  • Full-Access Collaborators

How to Access the Entity Management Page

There are two ways to access the Entity Management page:

Option 1: Via Account Settings

  1. Click on the vault name in the top-right corner.
  2. Select Account Settings.
  3. Click on the Entity tab.

Option 2: Via the All Documents Tab

  1. Go to the All Documents tab.
  2. Click on the top-right menu and select "Filter by Entities".
  3. Click on the gear icon on the right side.
  4. Select "Entity Management".

How to Edit an Entity

Warning! Changing the Entity Type will erase all previously entered information.

  • Open the Entity Management page.
  • Locate the entity and click on it or use the Actions menu (three dots) to select Edit.
  • Make the necessary updates:
    • Change the entity name by typing a new one.
    • Change the color by selecting a predefined option or clicking the paint bucket for a custom color.
    • Change the entity type (This will erase all previously entered information).
    • Expand Entity Details to add more information.
  • Click Update to save changes.
